Best AI workspace for small teams in 2026

Notion Business is the best AI workspace for most small teams in 2026: docs, wikis, tasks and Notion Agent in one place for $20 a member a month on yearly billing. Pick ChatGPT Business or Claude Team ($20 a seat each) when the AI itself matters most, and EVY (free, Mac only) when your team already pays for Claude or ChatGPT and wants that AI to plan and do the work.

Plenty of small teams pay for AI twice. Once for the chat everyone uses (ChatGPT or Claude), and again inside the workspace (Notion AI, ClickUp Brain, Copilot). For a team of 10, the workspace with AI runs $140 to $320 a month on top of the chat plans.

This ranking looks at 9 tools that want to be the one place a small team plans and works with AI. We make one of them (EVY), so every price below links to the vendor’s own page and EVY gets no free pass.

How we ranked them

Six criteria, published so you can disagree with the weighting:

  1. Cost for a 10-person team, with the AI included.
  2. Agents that finish work: multi-step jobs done for you, beyond chat and writing help.
  3. Shared knowledge and planning: goals, tasks and docs the AI can read, in one place.
  4. Your own AI plan: whether it works with the Claude or ChatGPT plan you already pay for.
  5. Where it runs: web, Mac, Windows, phone.
  6. EU data: whether a small-team plan can keep data in the EU.

The order reflects how a typical team of 3 to 20 people would weigh them. A team with different priorities should read the scorecard and reorder.

1. Notion (Business)

Best for: teams whose work lives in docs, wikis and databases.

Notion is still the shared brain most small teams reach for, and the answer engines agree: it came up in 11 of 12 answers we collected when we asked ChatGPT, Claude and Perplexity this question. The Business plan carries the full AI set: Notion Agent (chat, generate, autofill, translate), AI Meeting Notes and Enterprise Search. Custom Agents run on top, at $10 per 1,000 Notion credits.

Price: $20 a member a month billed yearly. Free and Plus get a limited AI trial.

Falls short: the AI is Notion’s, billed by Notion, on top of whatever ChatGPT or Claude plan the team already has. Zero data retention with AI providers and EU hosting are Enterprise only. You build your own planning system from templates and keep it alive yourself. We compare the two head to head in EVY vs Notion AI.

2. ChatGPT Business

Best for: a team that wants one AI everyone uses, with coding included.

ChatGPT Business gives every seat ChatGPT, ChatGPT Work and Codex on web, desktop and mobile. It connects to Microsoft 365, Google Drive, Slack, GitHub, Linear and Figma, and teams can build plugins on their company knowledge. Standard and premium seats can be mixed.

Price: $20 a user a month billed yearly, $25 monthly, from 2 users.

Falls short: it’s an AI first and a workspace second. There’s no team task list or goals, so planning still lives elsewhere. Data residency in the EU (and nine other regions) is listed for Enterprise only.

3. Claude Team

Best for: teams that hand real work to agents.

Claude Team includes Claude Code and Claude Cowork on every seat, plus Claude Design, Slides and Docs, enterprise search across your organization and the Microsoft 365 integration. Claude Code is the strongest agent we’ve used for multi-step work on a computer, and Claude’s pricing page now says “Claude Cowork is now just Claude”, so the agent mode is folding into the main app. Teams of 2 to 150 can mix standard and premium seats.

Price: $20 a seat a month billed yearly, $25 monthly. Premium seats with 5x the usage cost $100 ($125 monthly).

Falls short: like ChatGPT, it has no shared plan or task list. EU data residency exists for Claude’s API through AWS Bedrock, Google Cloud and Microsoft Foundry, and Anthropic does not list it for the Team plan.

4. EVY

Best for: teams that already pay for Claude or ChatGPT and want that AI to plan and do the work.

The EVY desktop app: a design studio's To-do, with Claude working on a pitch task and its activity log on the right

Full disclosure: we make EVY. It’s a free Mac app with no paid plan and no card, for you and your whole team. Each space (one per company or project) holds goals and initiatives, and EVY plans the day with you at a morning check-in. Tasks go to people or to agents: Claude Code, Codex or Hermes do them on the AI plan you already have, with the plan and your company’s knowledge handed over. Switch on Auto for an initiative and EVY starts its agent tasks in the order of your plan, a few at a time.

The team works in one app. Notes are Private or Shared, and Shared notes edit live with everyone in them. Company knowledge is kept as Markdown files any agent can read. You talk to EVY by holding ⌥⌘, teammates send each other voice notes, and dictation and meeting notes are built in. Asking EVY from Slack or Telegram is coming soon.

How I use it. I run my companies and my private life in EVY, four spaces in all, and I use it every day. Most agent work goes to Claude Code on my Mac. A Hermes agent on a small rented server (a VPS) handles the recurring jobs, like content research and preparation, while my laptop is closed.

Eugen Petersen, co-founder of EVY

Price: $0 for the whole team. The agents use your existing AI plans (Claude Pro is $17 a month billed yearly if someone doesn’t have one).

Falls short: Mac only for now, with Windows coming soon. No custom databases or big wikis. It’s the youngest tool on this list, with a fraction of the integrations and track record of everyone above it. You need at least one Claude or ChatGPT plan, or a Hermes agent, to put agents to work.

5. ClickUp with Brain AI

Best for: teams that run on tasks, sprints and dashboards.

ClickUp puts tasks, docs, chat and dashboards in one app, and Perplexity named it the best overall pick for small teams. The Brain AI add-on brings Brain Assistant, the @Brain Agent and AI chat with Claude, ChatGPT and Gemini models inside ClickUp. Super Agents, the AI Notetaker and AI automations come with the Everything AI add-on at $28 a user.

Price: Unlimited at $7 a user a month billed yearly plus Brain AI at $9, so $16 a person. The Business plan is $12 before AI.

Falls short: two price lists (the plan and the AI) plus credits for agent work. It’s a lot of app for a 4-person team. EU hosting is for Enterprise customers on request.

6. Google Workspace with Gemini

Best for: teams already living in Gmail, Docs and Meet.

Every Business plan now includes Gemini: in Gmail, as a chat assistant, and in Google Vids. For a team that already pays for Workspace email, the AI comes at no extra seat cost, which makes it the cheapest AI in this list per person.

Price: Business Starter $7, Standard $14, Plus $22 a user a month. We counted Standard for the 10-person total.

Falls short: Gemini helps inside each app but doesn’t run the team’s plan, and agents that finish work across apps are thin compared with Claude or ChatGPT. Data regions are an Enterprise feature.

7. Microsoft 365 Copilot

Best for: Microsoft shops, and teams with strict EU data rules.

Copilot Business adds Copilot to Word, Excel, Outlook and Teams, with Copilot Studio for building agents. For tenants that signed up in the EU, Microsoft 365 sits inside its EU Data Boundary, the only small-team plan in this list that keeps data in the EU by default. One catch from our EU AI data residency check: Anthropic models offered inside Copilot sit outside that boundary.

Price: Copilot Business is $21 a user a month billed yearly (on offer for $18 right now), on top of a Microsoft 365 plan. Business Premium with Copilot is $32, which we used for the total.

Falls short: the most expensive option here, and it only pays off if the team already works in Office files.

8. Motion

Best for: teams whose problem is the calendar.

Motion’s AI task planner puts the team’s tasks into their calendars, next to meetings. It also has projects, docs, a wiki and AI chat, with 7,500 AI credits per seat a month on Pro AI.

Price: Pro AI $19, Business AI $29 a seat a month billed yearly.

Falls short: priced per seat like Notion, with its own AI bill. The planning is about time slots, and agents that do the work itself are limited. We compare it in more depth on Motion alternatives.

9. Taskade

Best for: a whole team on AI agents for one flat price.

Taskade builds projects, docs, AI agents, automations and small AI apps, and its Business plan includes unlimited users. That makes it the cheapest team plan here by a distance.

Price: from $10 a month for Pro (10 users included) and $25 a month for Business with unlimited users. AI use draws on monthly credits, with packs from $5.

Falls short: the AI runs on Taskade’s credits, and heavy agent use means buying packs. It’s a smaller company with a smaller ecosystem than everyone above it.

When EVY is the wrong pick

EVY is the wrong pick today if anyone on your team works on Windows, Linux or only on a phone: it is a Mac app, with a Windows version coming soon. It's also wrong for teams whose work lives in big wikis and custom databases (Notion and ClickUp do that far better), for teams that need EU data residency in writing on a small plan (Microsoft 365), and for teams that don't want to pay for Claude or ChatGPT, since EVY's agents run on those plans.

Questions people ask

What is an AI workspace?

An AI workspace is the app where a team keeps its plans, docs and tasks, with AI that can read all of it and act on it. The older tools (Notion, ClickUp, Google Workspace, Microsoft 365) bolted AI onto documents and tasks. The newer ones start from the AI: ChatGPT Business and Claude Team give a team shared AI with agents, and EVY plans the work and hands tasks to Claude Code, Codex or Hermes.

What is the best AI workspace for a small team?

Notion Business, for most teams: docs, wikis, databases and Notion Agent in one place at $20 a member a month on yearly billing. Teams that mostly want strong AI should look at ChatGPT Business or Claude Team, also $20 a seat. Mac teams that already pay for Claude or ChatGPT can run EVY for free on top.

Is there a free AI workspace for teams?

EVY is free for the whole team, with no paid plan, and runs its agents on your own Claude or ChatGPT plan, or on a Hermes agent. It is a Mac app, with Windows coming soon. Notion and ClickUp have free plans with a limited AI trial, and Taskade has a free plan too.

Is a plain AI assistant like ChatGPT or Claude enough, or do we need a workspace?

For a team of 2 or 3 that mostly writes, researches and codes, the best AI assistant on a team plan (ChatGPT Business or Claude Team) is often enough. Once you have goals, a task list and company knowledge that the AI should know about, you need somewhere to keep them, which is the job of a workspace like Notion, ClickUp or EVY.

Which team collaboration tools have AI built in?

Notion (Notion Agent, AI Meeting Notes), ClickUp (Brain AI add-on, $9 a user a month), Google Workspace (Gemini in every Business plan), Microsoft 365 (Copilot Business add-on, $21 a user a month), Motion (AI planner and calendar) and Taskade (AI agents and automations). Slack and Asana also have AI, and they work best next to one of these.

Which AI workspace keeps our data in the EU?

On a small-team plan, only Microsoft 365, whose EU Data Boundary covers tenants that signed up in the EU. Notion, ChatGPT and ClickUp offer EU hosting on Enterprise plans, and Google on its Enterprise data regions. Claude keeps EU residency for its API through AWS Bedrock, Google Cloud and Microsoft Foundry. With EVY the agents run on your own Claude or ChatGPT account, so that provider's terms apply.

Can AI agents really do work for a small team in 2026?

Yes, for well-scoped tasks. Claude Code, Claude Cowork, Codex and ChatGPT Work research, write, edit files and run multi-step jobs on a computer. The hard part is giving them the plan and the context. That's why the ranking weighs where the team's goals and knowledge live as heavily as the agents.
